Relationships

A connected CRM built from your inbox

Relationships builds your contact list from the mail, meetings, partners and orders already in Vaaha, so there is nothing to import or keep in sync. Each person and company carries its open items, the products they buy or supply, a timeline and a pipeline stage. It is free on the Starter plan.

How it works

  1. Connect your mailbox, and Vaaha builds people and companies from the threads, meetings and records you already have.
  2. Rows merge by email, then by name and company, and you can split or hide any of them.
  3. Open a contact to see what is open with them, the full timeline and your notes.
  4. Give a contact a stage and a next step with a due date, and ask the smart bar who needs you.

What it does

  • People and companies built from your inbox and roster
  • Open items on every row: needs reply, open PO, unpaid invoice
  • A timeline of emails, meetings, orders, invoices and notes
  • A prep brief before you talk to someone
  • Products each contact buys from you or supplies
  • Pipeline stages, next steps and due dates
  • Ask who has gone quiet or what you last discussed
  • Merges you can see, split and undo

Built from what you already have

Relationships reads your mailbox correspondents, partner roster, retail accounts, captured contacts, booked meetings, and conversations on Vaaha. It turns them into one list of people and companies, with the sources each one came from.

Nothing merges silently. Two records become one when they share an email, or the same name and company. If Vaaha joins two people who are not the same, split them; if someone does not belong, hide them.

Connected to your orders, invoices and meetings

Open a contact and see what is open with them: purchase orders with the next delivery date, what they owe you and what you owe them, with anything overdue flagged, their latest note, and the last or next meeting.

The timeline puts every touch in order, from emails and meetings to orders, invoices, contracts, shipments and notes. Order and invoice facts appear when you use Purchase Orders and Invoices.

  • Open purchase orders and next delivery
  • Unpaid and overdue invoices, both directions
  • Last and next meeting
  • Latest note on the contact

See who buys and supplies each product

Open a contact and the Products section lists what they buy from you, from the lines on your invoices to them, and what they supply, from the lines on your purchase orders, with quantities, amounts and the last order date. A line that uses a product from your catalog links to its product page.

It works the other way too. Each product page lists the people and companies who buy it and who supply it, and each name opens their contact. Products appear when your invoices and purchase orders have line items.

  • What a customer buys from you, with the last order date
  • What a supplier sends you on purchase orders
  • Who buys and who supplies, on each product page
  • Ask the smart bar who buys a product or who supplies an item

A simple pipeline you can actually keep up

Give anyone a stage, from New through In discussion, Negotiating and Active to Closed or Lost, plus a short next step and a due date. The stage strip shows how many contacts sit at each stage, and you can filter the list by stage.

Ask about anyone

Use the smart bar in plain words: who you know at a retailer, which buyers have gone quiet, who you met last month, what you last discussed with your co-packer, who buys a product or supplies your cans, or which next steps are due this week. You can also move a contact to a new stage by asking.

Before a call, ask for a prep brief and Vaaha reads the contact’s timeline into a short summary of what to know.

Common questions

Do I have to import my contacts?
No. Relationships builds the list from your connected mailbox and the partners, meetings and records already in Vaaha, and keeps it current as new mail arrives.
What if two different people get merged?
Open the contact and mark the extra address as not the same person, and it becomes its own contact. You can also hide anyone who does not belong in the list.
Where do the products on a contact come from?
From the line items on your invoices to them and your purchase orders to them. Lines that use a product from your catalog link to its product page, and other lines show their own description.
Is Relationships free?
Yes. Relationships is part of the Inbox, with a generous free AI allowance on the Starter plan. Order and invoice facts appear once you use Purchase Orders and Invoices.
